The following guide reflects the requirements as set out in the Ministerial Order on Examinations number 29 of 13/01/2020
Instructions for completion
The applicant fills in the relevant form of the corps, the applicant wants appointment for. If you seek appointment to more corps than one, you need to fill in a form for each corps. The reason for this is the difference in the academic specialism requirements.
The information must be entered as described in the forms. Some information is required to be submitted in a special format in certain places, for the sake of easy upload in the final censor database. Incorrect filling in may result in the application being rejected. It is the responsibility of the applicant to ensure that formalities are complied with.
Part 1. Personal information
Valid CPR number means that the applicant is registered in the Danish Municipal CPR Register and have a current Danish address.
Email addresses can be both personal and / or work-related. However, it is important that the primary email address is the applicant’s permanent email address.
Telephone numbers can be both private and / or work-related. However, it is important that the primary telephone number is the applicant’s permanent.
It is the responsibility of the applicant to keep the secretariat informed in case of change of personal information.
The question about the applicant’s gender has been inserted due to the Examination Order’s intentional provisions on equal gender distribution at the examinations.
Part 2. Professional background information
If the applicant has his own company and in addition employment in another company, these are noted as first and second employment. The order does not matter.
The affiliation questions:
a. The first question aims at whether the applicant has current employment or has an honorary affiliation. The degree of employment is subordinate, as the question is directed at whether the applicant specifically has an employment letter / contractual relationship with one or more of the three institutions.
Thus, it must be noted if the applicant has an employment relationship with either Arkitektskolen Aarhus, Designskolen Kolding and/or Det Kgl. Akademi regardless of which censor corps the applicants seek appointment to.
“Employment” is considered as honoring a contractual hourly obligation (regardless of number of hours), temporary/full employment and employment within the normal position structure.
b. The second question is about the applicant’s possible former affiliation with one of the three institutions. If a censor enters into an employment relationship at one of the three institutions, the person in question enters into a two-year quarantine regarding censorship at the Institution in question, regardless of the degree of employment, after the termination of the contractual obligation.
The question of the duration of the affiliation is therefore important for the applicant’s ability to act as an external examiner.
c. The above DOES NOT apply if the affiliation has been as a guest lecturer or similar, whereby the applicant has been remunerated via a fee. There is thus a difference between salary (involves a contractual relationship) and fee (loose affiliation).
Example: Lecturer X is employed with the Aarhus School of Architecture with an obligation of two days of teaching. Lecturer X can therefore not be appointed to an examination there. Lecturer X can however, if appointed, be appointed to examinations with one of the other two institutions. If Lecturer X terminates the employment by August 1, 2022 at the Aarhus School of Architecture, Lecturer X cannot be appointed to an examination at the Aarhus School of Architecture until after August 1, 2024.
The “Comments” section
Comments regarding employment can be done in the comments field. It is not a mandatory field, nor do we want the attachment of additional information or additional material, and therefore the applicant cannot attach supplementary material.
Part 3. Academic categories
The external examiners’ chairmanship and the institutions have jointly developed a number of categories, which the individual applicant is asked to relate to. The categories are made on the basis of a desire from the institutions to be able to better adapt the appointments to the academic profile that is tested in the individual test.
For applicants for appointment to the architectural corps, the individual can choose a maximum of 4 categories.
For applicants to the designer corps, a maximum of 6 categories may be checked Applicants to the conservatory corps may select a maximum of 6 categories.
